Additional steps following basic setup
Please see Report Setup Foundations for information on basic setup steps for all reports.
Additional steps:
- You will need to additionally indicate the Sections you wish to have appear in the Statistics Report.
- Sections are organized topically. Clicking on the arrow beside the category will show all reporting options about that topic. Clicking the check box beside the heading will include that item in the report.
- Hovering over a particular section will give you more information on what this section means.
- Clicking on the Client, Household, or Visit buttons will automatically check off sections related to those categories.
- Click Create Report at the bottom, your report will be found in your Report Inbox on the left-hand side of the screen under Reports. Alternatively, you can hit Save Template if you want to save this as a template for future use. More on templates can be found here.
Table overview
You will see several sections within this report depending on what you choose to report on, you can also jump between sections using the left-hand navigation pane:
- The light blue heading represents the title of the section that was chosen to be reported on.
- The dark blue heading describes the section.
- The list items appear on the leftmost column and the totals for each organization are listed in sequential columns.
- The rightmost column will be the total of all columns combined.
Export Options
Clicking on the Tools button on the right side of each section will reveal other options.
- Copy: This copies the table contents to your computer's clipboard.
- CSV: This exports the table into a CSV file, generally viewed with Microsoft Excel.
- PDF: This exports the table into a PDF.
- Print: This presents a printer-friendly version of the table (press Esc on your keyboard to return to the report).
Clicking on Enable Scrolling will allow you to scroll to the right if there are more items in the table that are not currently in view.
For Bar Graphs and Donut Charts clicking on the Convert to PNG button and then the Download PNG button will allow you to save this graph or chart as a PNG (image) file onto your device.
For Donut Charts similar to the interactive report, the variable can be removed from the donut chart by deselecting a list item. The percentages will re-adjust automatically to still represent a total of 100%.
Section overview
Here are some notes on some of the sections you will come across to keep in mind:
- Employment Type for Canadian Food Banks: there is no section in client intake to record employment type. The system is saving employment type as Full Time or Part Time if the income type is selected either as Full Time or Part Time, irrespective of whether it is the primary income source or not. If the income type selected is neither of those, then it keeps the employment type as either student or none based on the option selected. It is a Student if Yes was selected for the Post Secondary Student question.
- Self-Identity will only count In Canada 10 Years or Less if it was checked off. It does not verify if the year is indeed within 10 years or less of the date you're reporting on.
- For Networks with only ONE location:
- When reporting on any of the New vs. Existing options, the system will consider the client to be new only based on visits to that one agency being reported on.
- This means it will NOT use the date in the First Visit section on the Personal tab of the client's profile.
- In addition to being able to report on all income sources, you can also report by income source parent types in the regional report. This will provide a broader breakdown of categories that each income source has been assigned to.
- Adults, Seniors, and Children are the only bulk counters that show up in the Statistics report. Each “one” counts as a unique individual and a unique household (eg- 50 Adults would show up as 50 Anonymous Individuals in 50 Anonymous Households on duplicated and unique counts.) Custom bulk categories will NOT be counted in this report, but can be found in the Generic Program Report.
Definitions for report sections
- Age Group: Client (Duplicated) The age of "Clients" (calculated using "Date of Birth"). The total number of times "Is date of birth estimated?" was selected is listed to the right of the Total column.
- Age Group: Client (Unique) The age of "Clients" (calculated using "Date of Birth"). The total number of times "Is date of birth estimated?" was selected is listed to the right of the Total column.
- Age Group: Individuals (Duplicated) The age of "Individuals" (calculated using "Date of Birth"). The total number of times "Is date of birth estimated?" was selected is listed to the right of the Total column.
- Age Group: Individuals (Unique) The age of "Individuals" (calculated using "Date of Birth"). The total number of times "Is date of birth estimated?" was selected is listed to the right of the Total column.
- Age Group: Partner (Duplicated) The age of "Partners" (calculated using "Date of Birth"). The total number of times "Is date of birth estimated?" was selected is listed to the right of the Total column.
- Age Group: Partner (Unique) The age of "Partners" (calculated using "Date of Birth"). The total number of times "Is date of birth estimated?" was selected is listed to the right of the Total column.
- City: Households (Duplicated) The number of "Households" by "City".

- Expenses: Households (Unique) The number of "Households" with each type of "Monthly Household Expense". "Households" will be counted under the "Unknown" column if "Monthly Household Expense" is: 1) Not being tracked on the "Monthly Income" tab and/or 2) No "Monthly Household Expenses" were listed. NOTE: The graph shows each "Monthly Household Expense" as a percentage of total unique "Households" (regardless of if they have recorded an expense or not).
- Gender Identity: Client (Duplicated) The "Gender Identity" of "Clients".

- Households: Adult Count (Duplicated) The number of "Adults" per household. Column headers show the number of adults in a household and the count below is the number of "Households" containing that many adults. "Households" with no adults will count in the "0" column.

- Households: Children Count (Duplicated) The number of "Children" per household. Column headers show the number of children in a household and the count below is the number of "Households" containing that many children. "Households" with no children will count in the "0" column.
- Households: Children Count (Unique) The number of "Children" per household. Column headers show the number of children in a household and the count below is the number of "Households" containing that many children. "Households" with no children will count in the "0" column.
- Households: New vs. Existing (Unique) The number of "Households" that have received services for the first time prior to the reporting period (counted under "Existing") and the number of "Households" who received services for the first time within the reporting period (counted under "New"). NOTE: To determine this, the system first checks the household’s "First Visit" for anywhere in the network. If it is listed as "Today" or "Specific Date" and if that date is prior to the start of the reporting period, the client will be counted as "Existing". If "First Visit" is listed as "Unknown", the system will then check the household’s visit history. If their first visit was prior to the start of the reporting period, they will be counted as "Existing". If it was after the start of the reporting period, they will be counted as "New".
- Households: Relationship Types (Duplicated) The number of each "Relationship" selected between "Clients" and other members of their household.

- Households: Size (Duplicated) The number of "Households" by household size. Column headers show the size of the household (number of "Individuals" in the household) and the count below is the number of "Households" of that size.

- Immigration Period: Individuals (Duplicated) The length of time since the individual has immigrated. Uses the date provided in "In Canada 10 Years or Less" (Under "Self Identifies As").

- Self-Identifies As: Households (Duplicated) The number of "Households" with at least one member selecting a "Self-Identifies As" option. NOTE: The graph shows each "Self-Identifies As" section as a percentage of total duplicated "Households".
- Self-Identifies As: Households (Unique) The number of "Households" with at least one member selecting a "Self-Identifies As" option. NOTE: The graph shows each "Self-Identifies As" section as a percentage of total unique "Households".
- Self-Identifies As: Individuals (Duplicated) The options in "Self-Identifies As" selected for "Individuals". NOTE: The graph shows each "Self-Identifies As" section as a percentage of total duplicated "Individuals".
- Self-Identifies As: Individuals (Unique) The options in "Self-Identifies As" selected for "Individuals". NOTE: The graph shows each "Self-Identifies As" option as a percentage of total unique "Individuals".
- Served: Households/Individuals (Duplicated) The number of "Households" and "Individuals" served.
- Served: Households/Individuals (Unique) The number of "Households" and "Individuals" served.
- Visits: Deliveries The number of visits where "Yes" was selected for "Delivery Required- Yes/No".
- Visits: Food Provided The total of each "Food Provided" selected during visits.
- Visits: Households Served by Number of Visits The number of visits per household. Column headers show the number of visits and the count below is the number of "Households" who have visited that many times. If a household has visited 5 times during the reporting period, they will only be counted under the 5 column and not under the columns for 1, 2, 3, or 4. Each household is only counted once. This section will always display an aggregated count.
- Visits: Households Served by Program Name (Unique) Reports on the total number of households served to each program offered during the reporting period by program name. If "Aggregate Across" was NOT selected- The total number of visits by "Program Name". If "Aggregate Across" WAS selected- The total number of visits by "Program Type".
- Visits: Individuals Served by Number of Visits The number of visits per individual. Column headers show the number of visits and the count below is the number of "Individuals" who have visited that many times. If an individual has visited 5 times during the reporting period, they will only be counted under the 5 column and not under the columns for 1, 2, 3, or 4. Each individual is only counted once.
- Visits: Items/Services Provided The total of each "Item/Service Provided" selected during visits. The Unique Count is the number of unique households that visited during that period whether or not they added provisions to their visit. The other values would show the unique items the household received during the period being reported on.
For example, if Household A visited two times in the reporting period and received provisions of Hamper A and Hamper B on their first visit and the same provisions were received on their second visit then the count would only show 1 for Hamper A, and 1 for Hamper B. - Visits: Number of Visits (Duplicated) Reports on the total number of visits made per household per agency during the reporting period. This is a duplicated count, of all household visits to each agency for the total number of visits they had. For example: if a household has visited 5 times during the reporting period, they will be counted under the 5 column and not under the columns for 1, 2, 3, 4 and 5.
- Visits: Program Name/Program Type (Duplicated) Reports on the total number of visits to each program offered during the reporting period. If you ran an aggregated report, this section will display columns by program type. If "Aggregate Across" was NOT selected- The total number of visits by "Program Name". If "Aggregate Across" WAS selected- The total number of visits by "Program Type".
- Visits: Provisions (Unique Households) The number of unique "Households" receiving each "Food Provided" or "Items/Services Provided".
- Visits: Quantity of Food The sum of the "Quantity" field for all visits. Networks customize what type of "Quantity" they are tracking (ex. Lbs, kgs, etc).
- Visits: Referred To The number of times each "Referred To" item was selected during visits.
- Visits: Visit Reason The number of times each item from "What were the reasons for this visit?" was selected during visits.
- Visits: Vouchers Issued The amount added to vouchers.
- Visits: Vouchers Spent The amount spent from vouchers during visits.
- ZIP/Postcode: Households (Duplicated) The number of "Households" by ZIP/postal code.
- ZIP/Postcode: Households (Unique) The number of "Households" by ZIP/postal code.
- ZIP/Postcode: Individuals (Duplicated) The number of "Individuals" by ZIP/postal code.
- ZIP/Postcode: Individuals (Unique) The number of "Individuals" by ZIP/postal code.
Efficiency and Timeliness of Report Generation
In our report generation process, we understand the significance of minimizing wait times for our users. Currently, the wait time is determined by the number of organizations included in the report and the duration covered. Let's delve into the details of our report queues for a clearer understanding.
We manage two queues: one for regular reports and another for large reports. We allow up to 20 reports to run simultaneously. This setup enables concurrent processing of multiple reports but may result in a slightly extended initial wait time to ensure efficiency.
Report size is determined by multiplying the number of sites by the duration in days, with a limit set at 50 sites x 180 days (equivalent to 9000). Anything exceeding this threshold is directed to the large queue.
Recognizing the complexity and scale of large reports, they are processed in a separate queue, occasionally resulting in wait times measured in hours. We understand the inconvenience and are actively working towards optimizing processing times for such reports in the future.
Conversely, our regular queue processes reports efficiently with a minimum wait time of 6 minutes per report. Multiple reports can run simultaneously, minimizing overall slowdowns. However, there are instances where regular reports may take longer, ranging from 20 to 30 minutes each. It's essential to note that even a quick report may experience delays if queued behind longer reports.
