For disposals of unsorted products from an organization, enter as a Bulk Donation Disposal.
For disposals of sorted products, enter it as Product Disposals.
To track distributions of products to another organization, enter it as Distributions.

Product Out
Product Out is the section of inventory where you will record inventory items that have been removed from inventory.
This section can be accessed from the left-hand navigation pane, click the Product Out heading and the following options for removing a product from inventory will be displayed:
- Bulk Donation Disposals.
- Product Disposals.
- Distributions.
- POS Transactions.
Bulk Donation Disposals
This section is used to record any unsorted product donations that were disposed of before becoming inventory. It contains a log of Bulk Donation Disposals to date, and at the end of the title header is the Per page field that allows you to decide how many bulk disposals you would like to view per page, and the Search field is where you can search for specific bulk disposals already entered.
Table Column Headers
Each of the columns in the table can be filtered by clicking the arrows on the far right of each column header.
- Date: The date the bulk disposal was disposed of.
- Status:
- Live: The disposal has been confirmed.
- Pending: The disposal has not been confirmed.
- Receipting Organization: The organization that made the bulk donation.
- Weight (if tracking): The total weight of the donation.
- Total Units: The total units of measurement (bags/boxes) donated.
- Actions: Here you will find the icons to download a receipt, view an entry, or edit an entry.
How do I enter a Bulk Donation Disposal?
To enter a bulk donation disposal:
- From the left navigation pane click on the heading Product Out.
- Next click on Bulk Donation Disposals.
- Click on the blue+ New Bulk Donation Disposal in the top right-hand corner of the page.
Complete all required fields on the page:
Bulk Donation Section:
- Receipting Organization: A dropdown list of organizations. See Lists for instructions on how to add a receipting organization that isn't listed.
- Bulk Disposed Date: The date the donation was disposed of.
- Notes: Any notes applicable to the disposal in general.
Bulk Donation Category Section:
- Bulk Category: A dropdown list of product categories. See Lists for instructions on how to add a product category that isn't listed.
- Disposed Reason: The reason for making this bulk disposal. See Lists for instructions on how to add a reason that isn't listed.
- Quantity: The number of units disposed of.
- Unit Weight (only if tracking): lbs and oz of each unit.
- Notes: any notes applicable to this bulk donation category.
- Click the light blue Add a Bulk Donation Category button to add more bulk donations to dispose of if donated by the same receipting organization.
- Click the red trash can icon to delete an entry made in error.
- Once you have finished adding the bulk disposal(s) click Save.
- You will land on the Product Out/Bulk Disposals page.
- The Bulk Disposal Details section contains all the details of the bulk disposal that was just added.
- Check that all the details are correct.
- Click Return to Bulk Disposal Form to make any corrections, and click Save.
- Click Confirm to save the disposal once you've decided that the details listed are correct.
- Click All Bulk Disposals, and you will be directed back to the Bulk Donations Disposal Log, and the disposal will have been added to the table.
How do I edit a Bulk Donation Disposal?
Only Agency Managers, Network Managers, or Network Administrators can edit a Live Bulk Donation Disposal.
Edits made to existing entries can result in errors with weights, overall counts, and reporting. It is important to only make these changes in response to an immediate entry error. If you need to edit a transaction that is from the past it is recommended to instead complete a product reconciliation, details on this process can be found here.
To edit a bulk donation disposal:
- From the left-hand navigation pane click the Product Out heading.
- Click Bulk Donation Disposals.
- You will now be on the Bulk Donation Disposals page that contains the Bulk Donation Disposals log.
To edit a bulk donation disposal with a Pending status:
- Click on the orange edit icon in the Actions column of the bulk donation disposal entry you wish to edit.
- Click on Return to Bulk Disposal Form.
- Make any applicable changes.
- Click Add a Bulk Donation Category to record another bulk donation disposal from the same Receipting Organization.
- Click on Save to save your changes or Cancel to discard them.
- Click on Confirm.
- Click on View all Bulk Disposal to return to the Bulk Donation Disposals page.
To edit a bulk donation disposal with a Live status:
- Click on the orange edit icon in the Actions column of the bulk donation disposal entry you wish to edit.
- A message box will be generated warning you that you are about to make changes to a Live entry.
- Click OK to confirm that you intend to make edits.
- Click Cancel if you do not want to make edits.
- Make any applicable changes.
- Click Add a Bulk Donation to record another donation disposal from the same Receipting Organization.
- Click on Save to save your changes or Cancel to discard them.
- Clicking Save will generate a warning that you are about to make changes to a Live entry, click OK.
- Click on View all Bulk Disposal to return to the Bulk Donation Disposals page.
Product Disposals
This section shows the Product Disposals log of all sorted products disposed of after becoming inventory and is used to record any sorted product donations that were disposed of after becoming inventory. Each of the columns in this table can be filtered by clicking on the arrows on the right-hand side of each column heading.
The Product Disposals table header indicates that you are in Product Disposals. At the end of the header is the Per page field that allows you to decide how many disposals you would like to view per page, and the Search field is where you can search for specific disposals already entered.

- Once you have completed all fields click Save.
- You will land on the Product Disposal Details page where you can view the disposal just entered. At this point, the disposal has been created but not yet saved to the system.
- Click Confirm if the details are correct, or click Return to Product Disposal Form if you have another product to add.
- Once you have clicked Confirm you will see a green banner across the top of the page indicating that the disposal has been confirmed.
- You still have the chance to add another disposal or edit the disposal you have just created before the system saves the disposal, to do so click Edit Product Disposal.
- Once you are sure you have included all disposals click View all Product Disposals to save the disposal to the system.
- You will be directed back to the Product Disposals table and you will see your recent disposal listed.
How do I edit a Product Disposal?

Distributions
This section shows a log of distributions to date and is used to track products that are distributed to another organization.
Each of the columns in this table can be filtered by clicking on the arrows on the right-hand side of each column heading.
The Distributions table header indicates that you are in Distributions. At the end of the header is the Per page field that allows you to decide how many disposals you would like to view per page, and the Search field is where you can search for specific disposals already entered.

How do I add a Distribution?
To enter a distribution:
- From the left navigation pane click on the heading Product Out.

- Once you are sure you have included all distributions click View all Distributions to save the distribution to the system.

How do I edit a Distribution?

- You will now be on the Distribution Details page.
- Click Return to Distribution.
- Make applicable changes.
- Click Add a Product to record another distribution.
- Click on Save to save your changes or Cancel to discard them.
- Click Confirm then click View all Distributions to return to the Distributions page, you will see your edited pending distribution is now Live.
To edit a disposal with a Live status:
- Click on the orange edit icon in the Actions column of the disposal entry you wish to edit.
- A message box will be generated warning you that you are about to make changes to a Live entry.
- Click OK to confirm that you intend to make edits.
- Click Cancel if you do not want to make edits.
- After clicking OK you will be directed back to the Distribution Details Form where you can make any applicable changes.
- Click Add a Product to record another distribution and repeat for each distribution you wish to add.
- Click on Save to save your changes or Cancel to discard them.
- Once the distribution has been saved you will see a green banner across the top of the Distribution Details page indicating that your Distribution has been updated.
- Click Confirm and the green banner will change its message to indicate that the distribution has been confirmed.
- Click on View All Distributions to return to the Distributions page, you will see your edited distribution on the Distributions table.
How do I print a Distribution Receipt?
To print a distribution receipt:
- From the left-hand navigation pane click the Product Out heading.
- Click Distributions.
- You will now be on the Distributions page.
- Click the first blue icon in the Actions column of the distribution you wish to print a receipt for.
- This brings up the receipt on your device screen.
- From here you can choose to download a copy to your device or print it immediately.

POS Transactions List
This section shows a log of Point of Sale (POS) transactions to date and is used to track products that are distributed to clients through the Point of Sale (POS) application.
To access the POS Transactions List:
- From the left-hand navigation pane click the Product Out heading.
- Click POS Transactions.
- You will now be on the POS Transactions page with the Transactions table, where you will see a list of transactions to date.
Table Column Headers
Each of the columns in the table can be filtered by clicking the arrows on the far right of each column header.
- Created At: The date of the transaction.
- Updated At: The date that the transaction was most recently updated.
- Client Id: The client who received the distributed products.
- Details: The products distributed.
- Actions: Here you will find the icons to download a receipt, view an entry, or edit an entry.
How do I edit a Point of Sale transaction?
To edit a point of sale (POS) entry:
- From the left-hand navigation pane click the Product Out heading.
- Click POS Transactions.
- You will now be on the POS Transactions page which houses the Transaction table.
- Click on the orange edit icon in the Actions column of the POS transaction entry you wish to edit.
- This will bring you to the Point of Sale application.
- Make applicable changes and click Update to save your changes or Cancel to discard them.
