Marking a Client as Deceased
Permission: Only users with the role of Agency Manager or higher can access the option to mark a user as deceased. General intake staff will not see this option.
If you need to mark a client's profile as deceased, please follow these steps:

Search for the Client's Profile
Refer to the section How do I search for clients? for guidance on locating a client. -
Access the Dropdown Menu
Locate the dropdown arrow beside the client's ID number in the top right corner of the page. -
Mark as Deceased
Click the arrow and select Mark Deceased. -
Confirm Your Choice
A confirmation box will appear, asking if you are sure you want to mark the client as deceased. Click the Mark Deceased button to confirm your decision, or hit Cancel to return to the profile without making any changes.
CSFP Deceased Status (US Only): When a client's CSFP status is changed to Deceased, they will automatically be marked as deceased, and the confirmation box will appear.
What Happens to a Deceased Client?
- Deceased clients will no longer be editable, and new visits cannot be recorded.
- Existing visits will remain intact but cannot be edited.
- Visits by deceased clients will still appear in reports and exports, reflecting the client's status at the time of the visit.
- Deceased clients will continue to be visible in some lists, but any associated visits will not be editable.
Marking a Client as Archived
Permission: Only users with the role of Agency Manager or higher can access the option to mark a user as archived. General intake staff will not see this option.
If you need to mark a client's profile as archived, please follow these steps:

Search for the Client's Profile
Refer to the section How do I search for clients? for guidance on locating a client. -
Access the Dropdown Menu
Locate the dropdown arrow beside the client's ID number in the top right corner of the page. -
Archive the Client
Click the arrow and select Archive Client. -
Confirm Your Choice
A confirmation box will appear, asking if you are sure you want to mark the client as archived. Click the Archive Client button to confirm, or hit Cancel to return to the profile without making any changes.
What Happens to an Archived Client?
- Archived clients will not appear in searches, and their profiles cannot be accessed by intake users or agency managers.
- Historical data for archived clients remains in reports and exports.
Activating Deceased and Archived Clients
Permission: Only Network Admins have the ability to un-archive (activate) clients.
To activate (un-archive) a deceased or archived client, follow these steps:

Open Case Management.

Search for the Client's Name
Type the client's name in the search field. -
Activate the Client
Once the client details appear, click the Activate Client button in the top right corner. -
Confirm Activation
Select Activate to restore the client, or Cancel to refrain from making any changes.
