How Do I Use a CSFP Ethnicity Report (Unique)?

The CSFP Ethnicity report contains one table and two sets of graphs, and reports on the ethnicities of clients served during the reporting period.

This is data required for the FNS-191. This version provides unique counts, so can be used for FNS reporting.

The completed report will show the name you assigned to the report at the top of the page and will also show:

  • Reporting for: a list of all the agencies reported on during the reporting period.
  • For these program types: lists the programs reported on during the reporting period.
  • With dates between: the dates used for the reporting period.

The light blue header represents the title of the report.

The dark blue header describes what is being reported on.

The first column of the table lists all ethnicities included in the report. The next three columns capture how many clients were Hispanic/Latino, how many were Non-Hispanic/Latino, and the Total all ethnic groups within the reporting period.

Breakdown of table results.

  • When running this report, the table is broken down into a list of races and whether or not the client identifies as being "Hispanic/Latino" or not. 
  • This report considers "Hispanic/Latino" (rows) as an ethnic group and the other options are listed in rows as races.
  • If someone selects any combination of ethnicities listed in rows 05-13 INCLUDING Hispanic/Latino, the count will be listed in that row under the "Hispanic/Latino" column.
  • If someone selects any combination of ethnicities listed in rows 05-13 EXCLUDING Hispanic/Latino, the count will be listed in that row under the "Non-Hispanic/Latino" column.
  • If someone selects more than one ethnicity that isn't specified in the table rows 05-13 INCLUDING Hispanic/Latino, the count will be listed in row 14 under the "Hispanic/Latino" column.
  • If someone selects more than one ethnicity that isn't specified in rows 05-13 EXCLUDING Hispanic/Latino, the count will be listed in row 14 under the "Non-Hispanic/Latino" column.
  • If someone selects "Other" INCLUDING Hispanic/Latino, the count will be listed in row "99 Other" under the "Hispanic/Latino" column.
  • If someone selects "Other" EXCLUDING Hispanic/Latino, the count will be listed in row "99 Other" under the "Non-Hispanic/Latino" column.
  • If someone selects "Not Applicable", the count will be listed in row "99 Not Applicable" under the "Non-Hispanic/Latino" column.
  • If someone selects "Undisclosed", the count will be listed in row "99 Undisclosed" under the "Non-Hispanic/Latino" column.
  • If someone is only Hispanic/Latino, the count will show in the "09 White" row under the "Hispanic/Latino" column.

Next in the report are 2 pairs of graphs.

The first pair is comprised of a donut graph and a bar graph, reporting only on Hispanic/Latino clients and Non-Hispanic Latino clients.

The second pair is comprised of a donut graph and a bar graph, reporting on all other ethnicities of clients.

The donut graph can be manipulated to remove categories by clicking on the radio button next to the category you wish to remove from the graph. Hovering over each category on both graphs will generate a pop-out box detailing how many clients identified with the ethnicity of that category.

How to copy, download and print the sections of the report

To print the table on the report separately, click on the Tools button on the right-hand side within the light blue heading:

  • Copy: copies the report contents to your computer's clipboard.
  • CSV: downloads the report contents into a CSV file, generally viewed with Microsoft Excel.
  • PDF: downloads the report contents into a PDF.
  • Print: presents a printer-friendly version of the report contents.

To print the graphs on the report separately:

  • Click the Convert to PNG button on the top right-hand side of the graph.
  • The button will change to a green Download PNG button.
  • Click the Download PNG button, a copy will be saved to your device

It is possible to print the entire report:

  • Click the blue Print View button at the top right-hand side of the report page.
  • A secondary tab will open, click the Print Popup button on the left-hand side.
  • A print options box will appear; complete the fields and click the Print button.

Clicking on the Enable Scrolling button will allow you to scroll to the right if there are more items in the table that are not currently in view.

How Do I Use a CSFP Ethnicity Report (Duplicated)?

Reports on the ethnicities of clients served during the reporting period. This is a duplicated count, so each household or individual is counted for each time they received services during the reporting period. The report contains one table and two pairs of graphs.

This is duplicated data, as every visit is recorded, so it CANNOT be used for FNS reporting.

How Do I Use a Social Services Outcomes Report?

This report details results from the Social Services Outreach Application regarding the number of applications by status, reasons for denied applications, and the total sum of funds awarded.

When filling out sections For the following SSO locations, For the following SSO programs, and For the following SSO reasons within the report set-up please note that these options act as a filter. If none are selected it will include all of the results. If any options within these are selected, it will only include results that include those selections.

The completed report will show the name you assigned to the report at the top of the page and will also show:

  • For these program types: lists the programs reported on during the reporting period.
  • With dates between: the dates used for the reporting period.

The light blue header represents the title of the report section.

The dark blue header describes what is being reported on.

The agencies appear on the leftmost column, and each organization's totals are listed in sequential columns. 

The rightmost column will be the total of all columns combined.

Sections on the report are:

  • Application Programs - the count of times someone applied to each program. This is a customizable list of social programs.

  • Application Sources - the total applications from a particular source. This is a customizable list of sources.

  • Application Status: Initial - The state of all applications at the time of creation. This is a customizable list of statuses.

  • Application Status: Most Recent - The most recent application status of applications. This is a customizable list of statuses.

  • Reasons for Denied Applications - Reasons for denied applications.

  • Total Awarded Applications - Most recent total dollar value awarded in approved applications.

This report stands out because it tracks applications over time, not just individual visits. It provides updates on these applications along with a count of initial submissions. However, keep in mind that the application count may not always match the updates because: A) updates may occur on applications submitted outside of the reporting period, and B) original submissions may lack status updates until after the reporting period.

How Do I Use a School Pantry Report?

The School Pantry report provides information concerning School Pantry services for a variety of metrics.

The completed report will show the name you assigned to the report at the top of the page and will also show:

  • Reporting for: a list of all the agencies reported on during the reporting period.
  • For these program types: lists the programs reported on during the reporting period.
  • With dates between: the dates used for the reporting period.

The light blue header represents the title of the report section.

The dark blue header describes what is being reported on.

The table displays information pulled into the report; the school pantry agency and current school grade of all children in the household are listed in the very first column of their respective report section.

Report section definitions

  • Household: Households/Individuals with persons less than 18 (Duplicated): The total number of households (and the total number of individuals in those households) containing at least one individual who is less than 18 years old (excludes individuals who are currently 18). This is a duplicated count, so any household with an individual less than 18 years old will be counted for each visit during the reporting period.
  • Household: Households with persons less than 18 (Unique): The total number of households (and the total number of individuals in those households) containing at least one individual who is less than 18 years old (excludes individuals who are currently 18). This is a unique count, so any household with an individual less than 18 years old will only be counted once, regardless of the number of times they accessed services during the reporting period.
  • Number of Days Food Distributed: Reports on the number of unique days that food was distributed during the reporting period.
  • Required Grade Documentation (Unique): Reports on the number of unique documents provided during the reporting period. 
  • School Attendance (Duplicated) - Reports on the schools attended by individuals during the reporting period. This is a duplicated count, so each individual is counted for each time they received services during the reporting period.
  • School Attendance (Unique) - Reports on the schools attended by individuals during the reporting period. This is a unique count, so any individual will only be counted once regardless of the number of times they accessed services during the reporting period.
  • Served: Adults (Duplicated) - Reports on the total number of adults served during the reporting period. This is a duplicated count, so each individual is counted for each time they received services during the reporting period.
  • Served: Adults in Households with individuals 18 or less (Duplicated): The total number of individuals served that are 18 years old or older that live in a household with at least one individual who is younger than 18 years (excludes individuals who are currently 18). This is a duplicated count, so individuals will be counted for each visit during the reporting period.
  • Served: Adults in Households with individuals less than 18 (Unique): The total number of individuals served that are 18 years old or older that live in a household with at least one individual who is less than 18 years old (excludes individuals who are currently 18). This is a unique count, so any individual will only be counted once regardless of the number of times they accessed services during the reporting period.
  • Served: Children (Duplicated): Reports on the total number of children served during the reporting period. This is a duplicated count, so each child is counted for each time they received services during the reporting period. 
  • Served: Children (Unique): Reports on the total number of children served during the reporting period. This is a unique count, so each child will only be counted once regardless of the number of times they accessed services during the reporting period.

How Do I Use an FFC Report?

The FFC report provides an aggregate overview of FFC Visit statistics.

  • Served: Household Members by FFC Partners (Duplicated): all the FFC partners listed for household members that received services during the reporting period. This is a duplicated count, so all partners are counted for each time services were received during the reporting period.
  • Served: Household Members by FFC Partners (Unique): all the FFC partners listed for household members that received services during the reporting period. This is a unique count, so all the partners for each household member are counted only once, regardless of the number of times the household member received services during the reporting period. The data reflects the most recently updated programs for the Household Member.
  • Served: Household Members by FFC Programs (Duplicated): all the FFC programs listed for household members that received services during the reporting period. This is a duplicated count, so all programs are counted for each time services were received during the reporting period.
  • Served: Household Members by FFC Programs (Unique): all the FFC programs listed for household members that received services during the reporting period.   • Utilization - Registered vs. Visited: total number of people registered with FFC information compared with the number of people visiting an FFC program.
  • Visits: Provided Food (Duplicated): counts of each type of food provided during the reporting period. This is a duplicated count, so all food items are counted for each time the household received services during the reporting period.

Efficiency and Timeliness of Report Generation

In our report generation process, we understand the significance of minimizing wait times for our users. Currently, the wait time is determined by the number of organizations included in the report and the duration covered. Let's delve into the details of our report queues for a clearer understanding.

We manage two queues: one for regular reports and another for large reports. We allow up to 20 reports to run simultaneously. This setup enables concurrent processing of multiple reports but may result in a slightly extended initial wait time to ensure efficiency.

Report size is determined by multiplying the number of sites by the duration in days, with a limit set at 50 sites x 180 days (equivalent to 9000). Anything exceeding this threshold is directed to the large queue.
Recognizing the complexity and scale of large reports, they are processed in a separate queue, occasionally resulting in wait times measured in hours. We understand the inconvenience and are actively working towards optimizing processing times for such reports in the future. 

Conversely, our regular queue processes reports efficiently with a minimum wait time of 6 minutes per report. Multiple reports can run simultaneously, minimizing overall slowdowns. However, there are instances where regular reports may take longer, ranging from 20 to 30 minutes each. It's essential to note that even a quick report may experience delays if queued behind longer reports.
