Recording a bulk visit
A bulk program is a non-pantry program that can be used to track aggregate information. By default, the program can track the total number of children, adults and seniors, but this can be customized to whatever label(s) the organization wants to track.
As an example, if it's a Snack Program, you can choose to record just Snacks. If it's a Meal Program, you can choose to record Households and Individuals.
A bulk program should not be confused with our inventory program. A bulk program is a program directly being run by the specific location, not food or services being provided to another location for their program.
When entering a count for Adults, Seniors and Children please note that each counts as a unique individual and a unique household, for example: 50 Adults would show up as 50 Anonymous Individuals in 50 Anonymous Households on duplicated and unique counts.
Adding a Bulk Entry to a generic program:
- On the left-hand side of the screen select Programs.
- Click on Record Data.
- Find the program you wish to record under and click on the Record Data button.
- Choose the date by typing it in the date field.
Editing a Bulk Entry to a generic program:
- On the left-hand side of the screen select Programs.
- Click on Record Data.
- Find the entry that you need to edit.
- Click on the Edit (pencil) icon to edit your entry.
- Update bulk entries, notes, or items provided.
- Click on the Save button to save your changes or Cancel to discard them.
To enable bulk program notes you will need to select Enable Notes For Bulk Recordings within the program settings.
Deleting a Bulk Entry to a generic program
- On the left-hand side of the screen select Programs.
- Click on Record Data.
- Find the entry that you need to delete.
- Click on the red Trash icon to edit your entry.
- A notification will appear asking if you're sure you want to delete your entry.
- Click Delete to delete your entry or Cancel to cancel the deletion.
How do I review my bulk entries?
All recorded bulk entries will populate in the table labelled Logs. You can use the filter to select Location, Program Type, Start and End dates; ensure you click the dark blue Filter button when filtering the table.
To view the logs of bulk entries:
- On the left-hand side of the screen select Programs.
- Click on Review Data.
