Barcode Scanning: An Easy Way to Record Client Visits
Barcode scanning allows users to quickly record client visits by simply scanning a barcode linked to a client’s profile. This feature works with any standard barcode scanner, or you can use the camera on a device such as a smartphone or tablet for scanning.
How to Enable Barcode Scanning
Barcode scanning must be enabled by a Network Administrator. Follow these three steps to set it up:
1. Enable the ID Type Field (Scanner and Camera)
For barcode scanning to work, the ID Type field must be activated.
To enable this field:
- Log in at the network level and navigate to Administration on the left-hand side.
- Select Fields.
- Turn on the Identification option under the Personal section (either as On Optional or On Locked), and decide if it should be Required, Not Required, or Choice.
Note: This setting will apply to all agencies in the network.
If the field is already enabled, proceed to the next step: Add Identification Field.
2. Add Identification Field (Scanner and Camera)
To create the barcode identification field:
- Go to Administration on the left-hand side, then select Lists.
- Click the orange edit icon next to Identification.
- Click New Option.
- Name the label as desired, but ensure the Parent Type is set to Barcode.
- Save your changes.
3. Enable Camera Scanner
To enable camera scanning for a specific organization:
- Go to Administration on the left-hand side, then select Organizations.
- Click the orange edit button next to the organization where you want to enable camera scanning.
- Go to C MGMT Settings.
- Under the Intake Options section, set Camera Barcode Scanning to On.
- Save your changes.
Adding a Barcode to a Client’s Profile
Before scanning, a barcode ID must be added to the client’s profile. Follow these steps:
- In the Profile tab of the client’s profile, find the ID Type field.
- Select the Barcode ID type that was created earlier.
- Place your cursor in the Confirmation text box.
- To scan the barcode using a camera, click the orange Scan Barcode button to activate the camera.
- If using a handheld scanner, scan the barcode and the numbers will populate automatically.
- If using a camera, the barcode should appear as it is scanned.
- Save your changes.
