Managing Anonymous Visits
Agency Managers and higher-level users can view, edit, and delete anonymous visits for their agencies.
Viewing an Anonymous Visit
- From the left-hand menu, select Clients, then click Anonymous Visits.
- A list will appear showing all anonymous visits recorded for your agency.
Editing an Anonymous Visit
- Navigate to Anonymous Visits under Clients on the left-hand side.
- Click the orange Edit (pencil) icon next to the visit you want to edit. This will take you to a new page to modify the visit details.
- After making the necessary changes, scroll down and click Save to apply your edits, or Cancel to discard them.
Deleting an Anonymous Visit
- Navigate to Anonymous Visits under Clients on the left-hand side.
- Click the Delete (trash) icon next to the visit you wish to remove.
- Note: Once deleted, a visit cannot be restored, and there is no confirmation prompt. A new anonymous visit would need to be created if required.
How to Enable and Add an Anonymous Household Member
This feature allows Agency Managers and Intake users to add Anonymous Household Members, accommodating updated CSFP and TEFAP requirements across various states.
Enabling Anonymous Household Members at the Network Level
Network admins or higher roles can enable this feature for agencies. To do so:
- Log in at the Network level and open the Case Management application.
- From the left-hand menu, select Administration, then Settings.
- In the Intake Options section, locate Anonymous Household Members and set it to On-Optional or On-Locked.
- On-Optional allows agencies to choose whether to enable this feature in their own settings.
- Scroll down and click Save Changes.
Enabling Anonymous Household Members at the Agency Level
If your Network has set Anonymous Household Members to On-Optional, you can enable it at the agency level:
- Log in at the agency level and open the Case Management application.
- From the left-hand menu, select Administration, then Settings.
- In the Intake Options section, set Anonymous Household Members to On.
- Scroll down and click Save Changes.
How to Add an Anonymous Household Member
You can add an Anonymous Household Member when creating a new client or editing an existing one in the Profile tab.
Note: Add any partial information you’d like to include before selecting +Add Anonymous Member, as details cannot be edited once the member is created.
Steps:
- When creating or editing a client, leave the Name field blank to allow the system to auto-fill it as Anonymous Client. This helps avoid duplicate entries.
- An Anonymous Household Member remains anonymous until all mandatory fields are filled out, converting them into a full client.
- After completing the required client information, scroll to the Household Members section at the bottom of the Personal tab.
- Click +Add to start adding a Household Member.
- Enter any partial information (if needed), then click +Add Anonymous Member.
- Repeat these steps to add additional Anonymous Household Members.
- Once finished, select Save Changes or Save & Next to continue with the client intake process.

Adding Additional Information to an Anonymous Household Member
Intake users can return to a client’s profile at any time to add information and convert an Anonymous Household Member into a full client. Once you begin editing, all required fields must be completed to switch the member from anonymous to a regular household member.
Important Notes:
- After conversion, any filled-in information will appear in reports, while incomplete fields will show as "Unknown."
- The client will no longer appear as "Anonymous" (unlike fully anonymous visits).
- Any changes made after creating an Anonymous Household Member will require all required fields to be completed, converting them into a full client.
